This Data Usage Policy (“Policy”) describes how JotPro processes, stores, protects, and uses data associated with your account, generated content, and interactions with the Service. By using JotPro, you agree to this Policy.


1. Categories of Data We Collect

JotPro collects only the data necessary to operate and improve the Service:

A. Account Information

  • Name

  • Email address

  • Password (encrypted)

  • Subscription plan

  • Billing status

  • Account preferences

B. AI Interaction Data

  • Prompts you submit

  • Generated output

  • Prompt metadata (token usage, model type, timestamps)

  • Tool selections (templates, SEO tools, chat threads, etc.)

  • Image/audio generation logs (without storing the media unless saved by the user)

C. Usage Data

  • Number of generations

  • API request volume

  • Active sessions

  • Error logs

  • Performance metrics

  • Device/browser details

D. Audio & Image Data

When using speech or image tools:

  • Uploaded audio (temporarily processed unless saved)

  • Generated images or audio (stored only if user saves/export them)

  • File metadata (duration, size, format)

E. Payment Data

Handled entirely by Stripe; JotPro does not store:

  • Credit card numbers

  • CVV

  • Bank details

Stripe provides transactional metadata (success/failure, subscription events).

F. API Usage Logs

For Business/API plans:

  • Endpoint requests

  • Key identifiers

  • Request volume

  • Error logs

  • Rate-limit behavior

API content is not stored permanently unless required for debugging and minimally retained.


2. Data We Do NOT Collect

JotPro does NOT collect or store:

  • Sensitive personal data (health, biometrics, SSN, etc.)

  • Location data beyond region-level analytics

  • Full browsing history

  • Contact lists

  • Private inbox data

  • Screen captures

  • Microphone input except for manual audio uploads

JotPro does NOT monitor:

  • What websites you write for

  • What documents you publish

  • What businesses you create content for


3. How Your Data Is Used

We use your data to:

  • Operate AI writing tools

  • Provide speech-to-text and TTS generation

  • Generate images

  • Maintain editing history and saved documents

  • Personalize templates and writing styles

  • Track usage limits

  • Improve performance and reliability

  • Handle payments and subscription management

  • Prevent fraud, abuse, and API misuse

  • Deliver customer support

Your personal data is never sold, rented, or traded.


4. Confidentiality of Your Documents & Prompts

Your content is treated as confidential.

JotPro does not:

  • Use your prompts to train public AI models

  • Review your content manually unless required for security or abuse investigations

  • Share your content with third parties except service providers

  • Sell or license any user-generated content

Documents you save are stored securely and accessible only to your authenticated account.


5. AI Model Processing

AI models may temporarily process:

  • Prompts

  • Text

  • Image instructions

  • Audio transcriptions

Depending on the provider:

  • Models may retain short-term memory (seconds/minutes) for generation

  • Models do not store your data for public training

  • Providers may store logs for abuse detection or system reliability

We select providers that follow strict data privacy and enterprise-grade policies.


6. Data Retention

We retain:

  • Account information → while account remains active

  • Documents you save → until deleted by you

  • API logs → 30–90 days for debugging

  • Analytics → anonymized and aggregated

  • Billing records → required by law (typically 7 years)

We automatically delete:

  • Unsaved AI outputs (not stored in documents)

  • Temporary audio/image files

  • Expired logs

You may delete your stored content at any time.


7. Data Sharing with Third Parties

We may share data with service providers essential to operations:

  • Stripe (payments & subscription management)

  • Email providers (transactional messages)

  • Cloud hosting providers

  • Analytics providers

  • Abuse detection services

These processors cannot use your data for their own purposes.

We do not share data with advertisers or data brokers.


8. Security Measures

We use:

  • Encrypted connections (HTTPS/TLS)

  • Encrypted passwords and tokens

  • Firewalls and access controls

  • Multi-region backups

  • Rate-limiting and bot protections

  • Strict access policies for internal staff

No system is perfect, but we maintain strong safeguards.


9. User Rights (GDPR/CCPA/Global Compliance)

You have the right to:

  • Access your data

  • Correct inaccurate data

  • Delete your data

  • Export your documents

  • Opt out of marketing communications

  • Request limitations on processing

10. Children’s Data

JotPro is not intended for children under 13.
We do not knowingly collect children’s personal data.

If discovered, we will delete such data promptly.


11. Data Transfers

Your data may be processed in the United States or where our providers operate.
We apply safeguards for international transfers, including:

  • Standard Contractual Clauses (SCCs)

  • Data minimization

  • Provider privacy certifications


12. API-Specific Data Handling (Business Plans)

API requests may be logged for:

  • Rate limiting

  • Abuse detection

  • Debugging

  • Performance monitoring

API usage data is not used to train models.
Logs are deleted after retention periods.

You are responsible for the data you send through the API.


13. Changes to This Policy

We may update this Policy as needed.
Updates become effective upon posting.
Continued use signifies acceptance.
